How to respond to Google reviews

A simple method to reply to reviews on your Google Business profile without spending hours or stressing.

Responding to Google reviews matters for your reputation and local visibility. Many business owners don't know what to write or worry about getting it wrong. Here's a three-step method that works for all types of reviews — positive, mixed or negative.

The 3-step method

Whether the review is glowing or angry, you can structure your reply the same way: thank, acknowledge, propose.

  • Thank the customer for taking the time to leave a review.
  • Acknowledge what they said — the compliment, the concern, or the disappointment.
  • Propose what comes next — another visit, a private chat to fix an issue, or an improvement.

Replying to a positive review

Keep it short and warm. Thank them, mention one detail from the review to show you read it, and invite them back.

Replying to a negative review

Stay calm. Don't argue in public. Thank them for the feedback, acknowledge the disappointment, and offer to discuss in private (phone or email). For more, see our guide: Responding to a negative review.

What to avoid

  • Sarcasm or aggression.
  • Contesting the facts in public.
  • Copy-pasting the same reply to every review.
  • Ignoring negative reviews — no response often looks worse than a measured one.
